What this website collects, why it collects it, and who else can see it. Written to be read, not skimmed past.

Who we are

Flight Club Golf LLC runs this website and the venue at 13830 Gran Bay Parkway, Suite 401, Jacksonville, FL 32258. In this policy, "we" and "us" mean Flight Club Golf LLC, and "the site" means flightclubgolf.com.

What this policy covers

This policy covers the site only. It does not cover what happens on other companies’ websites we link to, and it does not cover records the venue keeps offline, such as membership paperwork or point-of-sale receipts.

Information you give us

The site has no accounts and no login. The only personal information it receives is what you type in and send, whether that is a form or the chat.

Contact form
Your name, your email address, a phone number if you choose to add one, the subject you select, and your message.
Newsletter signup
Your email address, and nothing else.
Events and leagues inquiry
This form does not send anything to us directly. It opens a draft in your own email program with the details you entered, and nothing is sent until you send it yourself.
Ask Our Caddie
Whatever you type into the chat. Your questions are sent to Anthropic, who run the assistant that answers them, along with the club information it answers from. Please do not type anything into it you would not want to send us.

Submissions from the contact form and the newsletter signup are delivered to the club inbox as email. The site does not keep its own copy in a database.

We do keep a log of chat questions and the answers given, and we should be straightforward about why: the assistant only knows what this website says, so the questions it cannot answer are the fastest way for us to find out what the site is missing. We read that log to improve the site, not to look at individuals.

The log records the question, the answer, the time, and a random code that groups one conversation together. It does not record your IP address, your name, or anything else that identifies you, and the random code means nothing outside that log. If you type your own name or email into the chat then that is in there, which is the reason to use the contact form for anything personal.

Information collected automatically

We use Vercel Analytics to count visits and see which pages get read. It is a privacy-first product: it does not use cookies, it does not build a profile of you, and it does not follow you to other websites.

It records the page you viewed, the page that referred you, and a rough location worked out from your IP address at the network edge. That location is country, region, and city level. We use it to understand which parts of Jacksonville and Northeast Florida the interest is coming from. Your full IP address is not stored for us to read.

Our hosting provider also keeps standard server logs for security and troubleshooting, in the ordinary way any website does.

One more, and it is worth naming because it is the only place the site looks at your IP address on purpose. Sending a chat message counts your recent messages against your IP so nobody can hammer the chat and run up a bill. That count is held in memory for an hour at most, is never written down, and is not linked to anything else about you.

Cookies

The site sets no advertising cookies and no analytics cookies of its own. There is no Google Analytics on this site, no Meta pixel, and no ad-network tracking.

One exception is worth naming. The map at the bottom of every page is embedded from Google Maps. Loading it sends your IP address to Google and Google may set its own cookies, under Google’s privacy policy rather than ours.

Companies that handle data for us

We do not sell personal information and we do not share it for advertising. A small number of vendors process it on our behalf so the site can work.

Vercel
Hosting, server logs, and the analytics described above.
Resend
Delivers form submissions to the club inbox as email.
Anthropic
Runs the Ask Our Caddie chat. It receives what you type and the club information the answer is drawn from, and returns the answer. It is not given your name, your email address, or your IP address unless you type one into the chat yourself.
Sanity
Stores the text and images on the site. It holds no visitor data.
Google Maps
Renders the embedded map in the footer.
Google Sheets
Holds the mailing list the club works from, and the log of chat questions described above. Both are private to the club.
Square
Handles payments for memberships and bookings. Card details are entered on Square’s systems and never reach ours. We receive confirmation that a purchase happened, not your card number.

How we use what we collect

  • To answer the question you asked us.
  • To send opening news and club updates, if you asked for them.
  • To arrange a booking, a membership, an event, or a league seat.
  • To see how the site is being used so we can improve it.
  • To meet legal obligations and to protect the site against abuse.

We do not use your information to make automated decisions about you, and we do not profile you for advertising.

How long we keep it

Form submissions sit in the club email inbox and are kept as long as they are useful for the conversation they started, or as long as business records need to be kept. Newsletter addresses are kept until you unsubscribe. Analytics data is retained by Vercel on their own schedule and is not tied to you as a person. The chat log is kept while it is still telling us something useful about the site, and cleared out when it is not.

Your choices

  • Every marketing email has an unsubscribe link. Using it stops the marketing email and nothing else.
  • You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email us and we will act on it.
  • Most browsers can block or clear cookies and can send a Global Privacy Control signal. We honor a GPC signal where it applies to us.

We will not treat you differently for exercising any of these. Depending on where you live, state law may give you further rights, and we apply the ones above to everyone regardless of where you live.

Children

This site is meant for adults and we do not knowingly collect personal information from children under 13. If you believe a child has sent us something, email us and we will delete it.

Age rules for entering the venue, for the simulator bays, and for the beer wall are a separate matter and are set out in our terms and posted at the club.

Security

The site is served over HTTPS and sends security headers that limit what other sites can do with our pages. Payment card data never touches our systems. No website can promise perfect security, but we do not collect more than we need, which is the part that matters most.

Changes to this policy

If we change what we collect or who we share it with, we will update this page and change the date at the top. Material changes will be signposted rather than slipped in quietly.
